Studio Terms

Monthly Contracts:

  • Monthly Unlimited Autopay membership contracts are a 4-month minimum commitment. Notify us at any time after the first four months should you need to suspend or cancel. Otherwise, your membership will continue to charge on the same day each month and auto-renew every 24 months. (For members in the discount group, your membership lasts for one year, upon which it can be manually renewed pending applicable verification of maintaining eligibility for the discount group.)
  • Following the initial 4 month commitment, monthly unlimited autopay contracts can be suspended following the initial 4 months at no penalty up to twice per calendar year for 14-45 days. You may combine the two available yearly suspensions as needed for a maximum suspension of 90 days each year. No exceptions.
  • If you have any questions about your membership or client account, please contact us.

Class Reservation Policy:

  • Pre-registering for class is STRONGLY encouraged. 
  • Please complete the updated liability release HERE if you have not done so yet. (Let us know if you have any issues logging into your account.)
  • Make sure you have text and/or email notifications enabled in your client account for “Reminders and Schedule Changes” so you receive notifications regarding class reservations. Text is preferred for faster, automated confirmation. (This is extremely important so you know if/when you’ve been moved off of a wait list and onto the class roster.)
  • If you sign up for class on the waitlist and receive a notification that you were moved to the class roster, please confirm or decline your reservation right away. By signing up for a class wait list, you are agreeing to the same terms as signing up for a class. The same cancellation policy also applies, (below) regardless of whether or not you confirm your reservation in the event of being moved onto the class roster from the wait list.
  • If you are moved off of a class waitlist outside of our cancellation window and cannot make it, you will NOT be charged. However, we appreciate you letting us know ASAP if you are not able to attend so that we can keep the waitlist moving.
  • Please arrive to the studio no later than 5 minutes prior to class start time. If you are running a couple minutes late, please call and let us know.
  • Always check in at the desk immediately upon arrival! It is important that your attendance has been confirmed so that your spot is not given up to someone on the wait list.
  • Classes will start promptly on-time as scheduled and the door may be locked at class time. Please arrive early!
  • Please do not come to class if you have any cold or flu symptoms! Cancel your reservation asap. Late cancel fees can be waived due to illness or emergency. Thank you for always being honest!

Class Cancellation Policy:

  • Our class cancellation window and associated late cancel and no-shows fees are strictly enforced!
  • Cancellation windows:

    6:00 am  and 8:00 am class reservations must be cancelled before 8:00 pm the night before if you cannot attend class.

    All other class reservations must be cancelled at least 4 hours before class time.

  • The cancellation window for special events and workshops is 24 hours in advance.
  • If you cannot attend a class that you are pre-registered for, login to your client account via our Firelight Yoga app, MindBody Connect app, or through our website “My Account” page and cancel your reservation within the cancellation window listed above to be “early-cancelled” without penalty. (If you sign up for the waitlist, you are agreeing to the same terms as signing up for a class. The same cancelation policy applies if you are moved onto the class roster from the waitlist.)
  • You can also call the studio if you are having difficulties canceling your reservation and we will be happy to assist you. Please leave a voicemail if we are not able to answer, or you can text 503-461-5363.
  • If you cancel your class reservation outside of the cancellation window, you will be marked as “late-cancelled” and charged a fee of $15. If you do not contact the studio, do not attempt to cancel your reservation, and do not show up for your pre-registered class, you will be marked as a “no-show” and charged a fee of $20. No exceptions. 
  • Fees are charged to the credit/debit card on file and a receipt will be sent to the email you have saved on your client profile with us. If the saved payment source is outdated, this charge will be placed on the client account as an amount owed to be settled once the card is updated. (Those with class card packages will keep the class on their account, but they will be charged the applicable fee.)
  • Every effort possible should be made to cancel reservations within the cancellation window. However, if something emergent comes up, (i.e. sudden onset of symptoms of illness, last minute work schedule change, traffic issue, etc.) please just call the studio and let us know asap! We will mark you as “early-cancelled” and waive any fees in that instance. WE NEVER WANT ANYONE TO COME TO CLASS SICK JUST TO AVOID LATE CANCEL FEES! Thank you for helping us keep our community healthy and for always being honest!

Event & Workshop Cancellation Policy

  • The cancellation window for special events and workshops is 24 hours in advance. 
  • Cancellations more than 24 hours in advance will be credited back to the client account for future purchases.
  • Cancellations less than 24 hours in advance will not be charged a fee, however no refunds will be issued (unless the event or workshop is cancelled by the studio.)

Waitlists

  • To receive waitlist notifications, you must have text and/or email enabled in your client account for “Reminders and Schedule Changes”. Text is preferred for faster, automated confirmation.
  • If you sign up for class on the waitlist and receive a notification that you were moved to the class roster, please confirm or decline your reservation as soon as you see it. By signing up for a class wait list, you are agreeing to the same terms as signing up for a class. The same cancellation policy also applies, regardless of whether or not you confirm your reservation in the event of being moved onto the class roster from the waitlist.
  • IMPORTANT: Respond to every waitlist notification! What happens if you don’t? Our software will apply your “Y” or “N” response to confirm or cancel to the earliest notification you received, not necessarily the most recent one.
    For example: You receive a notification on Sunday that you were moved off the waitlist for the Monday 4pm class, but don’t respond. The next morning you receive a notification that you were moved off the waitlist for the Tuesday 6am class and you reply “N” to cancel. You just canceled your Monday 4pm class, instead of the Tuesday 6am class.
  • If you are moved off of a class waitlist outside of our cancellation window and cannot make it, you will NOT be charged. However, please let us know ASAP if you are not able to attend so that we can keep the waitlist moving and fill any last-minute open spots.

On-Site Parking:

  • When attending in-person classes at the studio and traveling by vehicle, PLEASE DO NOT PARK IN THE PARKING LOT AT THE BACK OF THE BUILDING. THIS LOT IS FOR KSTATION CONDO RESIDENTS ONLY.
  • Parking is all free, street parking in the neighborhoods surrounding the studio. Depending on time-of-day, parking can be a little challenging. Please give yourself extra time to park and still be to class on time.

General Guidelines:

  • Any changes to reservations made with ClassPass, (including cancellations and switching classes,) MUST be handled directly through ClassPass.
  • All classes must be paid for by class start time. If you take a class without a drop-in or class package already on your client account, you will automatically be charged for a drop-in class and receipt will be emailed to the email on file with us.
  • Firelight Yoga is not responsible for lost or stolen items. (A limited number of padlocks are available at the front desk for use for restroom lockers.) We have a lost and found, however when it fills with a lot of unclaimed items, they are regularly donated.
  • Please read and follow the studio etiquette HERE.

Studio Contracts and Class Packages Expiration:

  • All regularly-priced studio class cards have a 1-year expiration from the date of the first class taken or reserved. Please read the fine print for all sale packages and special offers as many discounted class packages have a 6 month expiration.

Purchase Policy:

  • No guarantee is implied that a specific class format, teacher or time slot will continue to be offered indefinitely and no refunds, extensions, or early contract cancellations will be issued due to schedule changes. Every attempt will be made to give notice in advance of any class cancellations or schedule changes.
  • No refunds on class package purchases. Class package purchases are exchangeable for other packages or retail items, or the amount can be transferable to another client if desired.
  • Retail purchases are returnable if, unworn with receipt and all sales tags intact, within 15 days of purchase. Retail “sale” items are nonreturnable/nonrefundable. 

Credit Card Transactions:

  • Every client account must have a valid credit card stored in their profile. (We do not have access to your credit card information. It is encrypted and stored in our secure software.)

Minimum Age Requirements:

  • The minimum age to practice unheated classes is 13. Clients between the ages of 13 and 16 need to be accompanied by an adult the first 5 times they practice.
  • The minimum age to practice heated classes is 15. Clients between the ages of 15 and 17 need to be accompanied by an adult the first 5 times they practice.
  • A minor’s parent or guardian must must sign the new student waiver indicating consent for their minor to practice with FLY. Fill out the minor waiver HERE.
  • We do not allow unaccompanied minors to wait in the lobby while their parent or guardian is taking class.
